Frequently Asked

questions

The questions couples ask most, answered plainly. If yours isn’t here, your Wedding Event Manager will have it covered — reach us at 613-271-3582 or [email protected].

Booking & Minimums

Is there a minimum number of guests?

Our wedding package is built for 75 guests and above. If you are celebrating with fewer, your Event Manager will put together an alternate package for you.

Is there a minimum food and beverage requirement?

Yes. A minimum is set for each event space and quoted by your Event Manager before taxes and gratuities, so you know it before you commit to a room.

Is a deposit required?

Yes. Deposits are staged — one on signing, further instalments six and three months before the wedding, and a final pre-payment before the day. Your final invoice is issued after the event.

What happens if we have to cancel?

A cancellation schedule applies, based on expected food, beverage and room rental revenue, stepping up as your date approaches. Your Event Manager sets it out in full at signing.

How does availability work?

Dates and seasonal availability are confirmed directly by your Event Manager — enquire with your date and we will tell you where you stand.

Food, Drink & Deadlines

When are menu selections required?

Approximately one month before the wedding, at your Event Manager meeting, through the Final Details Package.

What are our dinner options?

A plated dinner in three or four courses, or a buffet. Plated allows up to two mains plus a vegetarian or vegan option; buffets are built from your own selections. Every main can be prepared gluten free with minor modifications.

When is the final head count required?

Your completed seating chart — with seating arrangements, meal choices and allergies — is due 30 days before the wedding. Dietary names are due three business days prior.

Do you charge for beverage service?

All bar sales are on consumption. A minimum revenue requirement applies per bar; below it, a bartender labour charge applies. Cash bar sales do not count toward your food and beverage minimum.

Is a tasting included?

A complimentary menu tasting for the two of you is included with plated dinner selections.

Suppliers, Licensing & Charges

Do you have a list of preferred suppliers?

Yes — photography, videography, florals, planners, hair and makeup, DJs, musicians, officiants, décor, photo booths, sweets, transportation and stationery. See our preferred vendors page.

Who handles audio-visual?

Encore, our on-site audio-visual partner, quotes screens, projectors and sound. Reach them directly at 613.722.8300.

What are SOCAN and Re:Sound (Tariff No. 5) fees?

Both are music licensing tariffs that apply to events with recorded or live music. They are quoted per event room by your Event Manager.

What is the breakdown for service charges and taxes?

A 15% service charge and 13% HST apply.

Are there other charges not included in the package?

Ceremony room rental, and electrical or power requirements for DJs, orchestras and specialty lighting, may apply. Music licensing is separate. All are quoted by your Event Manager in advance — nothing appears on your final invoice that you have not already seen.

On the Day

Can we come in and set up before the wedding date?

Access is not guaranteed before 11 a.m. on the day of your event unless arranged otherwise. Earliest possible access is offered subject to availability, and your Event Manager will coordinate your suppliers’ load-in.

Are there restrictions on smoke and fog machines, rice, table sparkles, confetti or rose petals?

Smoke, fog and cold sparklers are permitted, provided they come through an insured company such as your DJ, with 30 days’ notice and a firm timeline agreed in advance. Rice, table sparkles, confetti and loose flower petals are not permitted; additional cleaning charges may apply.

Where do our guests park?

Parking is complimentary for all of your guests.

Can our guests stay overnight?

Yes. Your Event Manager sets up a wedding block at a preferred guest room rate, and guests book into it directly. The two of you receive a complimentary upgraded room the night of the wedding and breakfast the following morning.

Is Brookstreet non-smoking?

Brookstreet is a non-smoking property throughout.
